Massasoit Community College is seeking a dedicated and experienced professional to join our team as the Staff Assistant of the Future of Work Institute. The ideal candidate will have a strong background in higher education, workforce trends, academic programming, and community outreach.
The Staff Assistant reports to the Associate Vice President of the Future of Work Institute and supports the Institute staff in meeting strategic planning goals and in supporting Correctional Education and Returning Citizens program, Apprenticeships and Diesel Technology program faculty, staff, and students.
DUTIES:
Under the supervision of the Associate Vice President of the Future of Work Institute, the Staff Assistant will demonstrate excellence in the following areas:
Assists the Associate Vice President in carrying out the Institute's operational responsibilities and special projects to include Correctional Education and Returning Citizen's, Apprenticeship and Diesel Technology programs.
Serves as the Institute's budget coordinator by meeting regularly with budget and financial officers, analyzing overall budget reports, and making recommendations to the Institute's leadership.
Develops and manages purchase requisitions/purchase orders
Manages, tracks, and maintains records for vendor contracts
Manages, tracks, and maintains instructor contracts, including pre-hiring and post hiring documents
Manages invoicing, tracks billing and payments
Compiles data and prepares statistical and budget-related reports.
Communicates with external groups, individuals, and vendors on behalf of the Institute's leadership by coordinating meetings, webinars, phone calls.
Manages administrative tasks related to the Institute's personnel matters, including but not limited to, leave requests, requests for personnel, and organizational charts. Initiates personnel actions on behalf of the Institute's leadership in Interview Exchange.
Assists with the preparation of (including proofing and editing) marketing materials, such as catalogs, Constant Contact, brochures, etc.
Implements and tracks social media accounts
Develops and maintains mailing lists, coordinates mailings of marketing material
Demonstrated experience with Microsoft Office Suite, Banner, SchoolDude and Interview Exchange
Team and relationship building skills

Outstanding creativity, attention to detail, and strong customer service skills
Excellent communications skills
OTHER DUTIES AND RESPONSIBILITIES:
Serve on college committees and task forces associated with the Future of Work Institute programs
Serve on relevant search committees and college committees
Perform other related duties as assigned.
Interaction:
The Staff Assistant must be able to work with individuals and groups both on and off campus including academic leaders, business leaders, civic organizations and prospective and current students.
Job Requirements:
Bachelor's degree
Minimum of 3 years of experience in a fast-paced, high-traffic office environment
Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
Demonstrated ability to work independently
Exceptional organizational skills and planning ability
Demonstrated ability to manage multiple projects simultaneously
Sound decision-making and judgment with good critical thinking skills
Demonstrated attention to details
Excellent verbal and written communication skills
Excellent customer service skills
Knowledge of and usage of Banner, Interview Exchange, Self-Service Time and Attendance systems
Knowledge of Canvas and Brightspace Learning Management Systems
Experience working in higher education, preferably in a community college
Knowledge of contracts for vendors
Ability to work constructively with diverse workforce and student populations
Experience with industry and employer relationship building
Understanding of current workforce trends and criminal justice reform
Preferred:

Additional Information: Position Status: Full-Time Benefited, Non- Unit Professional
Supervisor: Reports directly to Associate Vice President of the Future of Work Institute
Hours: 37.5 Hours
Salary: $56,761 - $70,952 commensurate with education, and experience
Worksite: Assignments will include all Massasoit sites and additional locations as necessary.
