We're seeking a future team member for the role of Associate, Senior Administrative Assistant I to join our SOX Compliance & Controls team. This role is located in Pittsburgh, PA - HYBRID; 3 days a week in office.
As an executive assistant, you will provide high-level administrative support to senior executives in a fast-paced and dynamic environment. You will be responsible for managing complex schedules, coordinating travel arrangements, preparing reports and presentations, handling confidential information, and liaising with internal and external stakeholders. You will also assist with special projects and events as needed. This role reports directly to the Managing Director of the SOX Compliance & Controls department, which is a part of our Finance organization and consists of ~100 employees in several global locations.
In this role, you'll make an impact in the following ways:
Proactively managing the calendar for the Managing Director and other senior executives to ensure optimum use of time including reviewing all incoming meeting invites and accepting/declining as appropriate based on whether demand on stakeholder time is reasonable, ensuring that there is sufficient 'free time' between meetings, ensuring that calendar time is reserved for stakeholders to complete other priority tasks.
Ensuring senior leaders are prepared for each meeting e.g., that where materials have been provided, the executive has had scheduled time to read, and, in the absence of materials, liaising with meeting hosts to ensure that a clear reason/objective has been provided for the meeting.
Organizing meetings/events on behalf of senior executives (including calendar invites, room bookings, producing/collating/distributing meeting materials) and ensuring executives are well prepared.
Managing the end-to-end lifecycle of onboarding and offboarding employees across the global team, including equipment and system access requests, liaising with the hiring manager as well as the HR/People Team, tracking progress of all requests, and ensuring a seamless and positive "day one" experience for new joiners.
Maintains teamwide documentation, including organizational charts, team procedure documents, intranet sites, contact lists, and other relevant information.
Acts as the company's system administrator for an application owned by the department, reviewing access requests to add and remove users from the system.
Attending meetings/events to support executives e.g., provide tech / presentation support, meeting minutes and action tracking.
Makes travel arrangements for senior executives, including flight and hotel bookings, setting up meetings and local accommodations, and completing expense reports.
Displays ability to appropriately interact with senior executives during interactions inside and outside the department, including C-suite executives.
Responsible for the timely, accurate, high-quality completion of own work as well as effective collaboration with leadership and the executive's direct reports/wider team on behalf of the executive.
Contributes towards achievement of team goals and in addition to daily responsibilities will be assigned a mix of short to long-term projects or initiatives.
To be successful in this role, we're seeking the following:
Excellent communication and interpersonal skills, both written and verbal. Tact, diplomacy, and confidentiality are essential skills in all communications.
Strong proficiency in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint
A fast learner with a demonstrated ability to pick up new tasks and learn new systems in a timely manner.
Ability to prioritize, multitask, and work under pressure with minimal supervision.
Attention to detail, accuracy, and quality.
Strong organizational and problem-solving skills
Initiative, discretion, and professionalism. Working proactively to solve business problems.
Experience working with senior executives and handling sensitive information.
Knowledge of business etiquette and protocols
Bachelor's degree or equivalent combination of education and experience preferred.
5-7 years of executive assistant or administrative assistant experience preferred.
