Corporate Communications is dynamic global division that is at the center of telling the Firm's story internally and externally with great opportunities for learning and growth. The Corporate Communications Operations Associate should have a strong background as an officer manager with proven project management skills and an attention to detail. The position offers a chance to own key processes and evolve and enhance them over time, including managing logistics and operations for all our press engagements. This role reports to the Corporate Communications COO and will take a leadership role in supporting the department's overall day to day operations.
Press Relations Operations Support - Managing logistics for PR operations including preparing for quarterly earnings and coordinating TV interviews for senior management - Coordinate with facilities, events and corporate services to arrange in-office media interviews - Manage external photo shoots and related logistics - Issue and upload press releases to external newsroom - Manage Certificate of Insurance and completion of work orders - Book space in conference centers - Work with press officers to coordinate media trainings
Operational Policies and Procedures - Document operational policies and procedures and identify areas to improve efficiency in partnership with external and internal communications teams
Vendor Onboarding - Partner with department personnel and other functional team leads to facilitate onboarding PR agencies and other department vendors - Create and manage SPARs (Supplier Portal for Assessing Risk) for all external vendors - Coordinate contract negotiations with Sourcing and Legal - Monitor vendor service validations for change in scope or service
Budget and Financials - Assist in managing the Corporate Communications budget and expenses - Assist with creation and management of funding requests for projects - Oversee set up of new vendors for the department and track expenses and payment of invoices - Management and onboarding of contingent workers via Fieldglass - Review eReq travel and Events and Conferences (ENC) system requests
Support Corporate Communications Goals and Priorities - Assist in preparing presentations and updating team org charts - Coordinate with the International Comms teams on programs and events - Coordinate with Corporate Services in support of office space - Coordinate with Technology on Firm driven technology initiatives (i.e., O365, EXO)
Oversee Office Administration - Manage office space, equipment, supplies in Manhattan and Ariba - Submit IMAC tickets for new hires and facilitate equipment set up - Manage new hire orientation and welcome - Update seat booking tool - Help escalate department technology issues
Qualifications - Bachelor's Degree - Five to six years of experience in financial services or communications operations - Comfortable working with cross functional stakeholders including Legal, Compliance, Operational Risk, Finance, Corporate Services - Self-starter with a can-do attitude and a results-driven mind set - Detail oriented and able to learn necessary platforms - Ability to work independently as well as on a team - Efficient at managing multiple projects and initiatives concurrently under deadline constraints - Differentiated written and verbal communication skills able to effectively interact and influence a diverse set of business and technical stakeholders - Energized in executing collaboratively - Proficiency in MS Office applications (e.g., Word, Excel, PowerPoint)
Expected base pay rates for the role will be between 80,000 and 175,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
