The Division of Facilities, Planning and Operations at Rowan University is a growing enterprise. The Division’s mission is to create and sustain a vibrant, safe, supportive environment at Rowan’s campuses. The division is dedicated to providing leadership in facilities, campus planning, development and maintenance. Organizationally, the Division is led by the Vice President of Facilities Planning and Operations who is a member of the President’s executive cabinet.
The Department of Planning and Real Estate is a part of the Division of Facilities, Planning and Operations. Its mission is to plan for and support the development of a sustainable, healthy and aesthetic environment for all of the University communities and campuses.
Through close collaboration and partnership with the other departments of the Division of Facilities, Planning and Operations and the campus community, this Department leads planning, predevelopment and preliminary design for campus development. The division oversees the design of open space initiatives and provides technical support to the other Departments for its delivery and management. It is also is responsible for managing space planning, real estate related functions and related data.
The Manager, Real Estate Administration and Affairs works under the direction of the Vice President and in unison with the University Architect, who provides overall management of the Department of Planning and Real Estate, particularly on matters of Real Estate across all University Campuses.
Essential Duties and Responsibilities:
Integral role in assisting with and support the administrative activities and responsibilities of the University’s Real Estate holdings. Duties and responsibility include, but are not limited to the below.
Abstract primary terms and conditions of new and amended reals estate lease contracts
Update and maintain lease databases with abstracted information and approved changes
Communicate directly with Legal, Real Estate and Accounting on lease summaries
Manage contractual and property ownership changes for real estate’s record
Prepare professional correspondence(s) with appropriate detailed spreadsheets and other support as needed
Manages the overall data and system migration and effectively communicates new changes to the University Community
Partners with key stakeholders such as the real estate academic schools/college leads
Drive and streamline process improvements and recommend efficiencies to improve the quality and quantity of leasing activities
Serve as Chair of the School of Osteopathic Medicine (SOM) Real Estate Workgroup Committee.
Tracking and monitoring information and/or special conditions related for all University holdings including leases and tenant information.
Oversee leasing activities for clinical practices.
Administer contract protocol provisions for all lease documents.
Draft RFP’s in coordination with VP, AVP’s and Procurement. Answer questions submitted about RFP’s. Contract drafting after vendor selection is made in coordination with General Counsel.
Procurement and management of consultants, contracts and/or services.
Updating, alignment and accuracy of the University Real Estate and related data across all campuses.
Recording and updating available site specific data, including physical, environmental, legal, permitting, appraisals etc.
Complete survey requests from University on behalf of the Division. Information may include policies, practices or other related information including space utilization.
Oversee preparation of reports and updates for the Facilities Committee of the Board including but not limited to attending Board pre-resolution meeting. Draft resolutions by collecting info from appropriate staff and formatting into University template. Coordinate to finalize resolutions with Legal/General Counsel.
Update presentation materials for the Facilities Committee of the Board including but not limited to updating template document with cover letter, providing current project information, and resolutions. Coordinate with Senior Director of Business Operations for cash flow information.
Take minutes at the Facilities Committee Meeting of the Board, including Executive Session.
Oversee the management of the development of content, copy and update the Facilities website.
Provide support necessary for facilitating execution of real estate transactions
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the positive
Bachelor’s degree in Planning, Public Administration, Real Estate Development, Project Management or another appropriate area of specialization
Minimum of three to five years of experience in Commercial Real Estate.
Experience with lease administration including management of tenants.
Experience writing RFP’s including compliance.
Previous Government experience preferred.
Previous experience as paralegal or paralegal studies preferred.
Higher Education experience a plus.
Knowledge and Abilities
Proficiency in the use of Microsoft Office.
Comprehensive knowledge of the leasing process including industry terminology, financial modeling, the complete detail process, and the working knowledge of the full scope of lease negotiation.
Exceptional verbal, written and graphic communication skills.
Effective communication, interpersonal and organizational skills.
Analytical and detail oriented.
Excellent research skills and ability to write articulately.
Ability to create various reports, including concept development, technical writing, graphics/design layout, editing, etc.
Ability to coordinate and communicate effectively within and across departments.
Ability to work in a fast-paced environment requiring the ability to easily adapt to change and work effectively to find solutions on their own.
Maintain confidentiality of sensitive information.
Guide, collaborate and work effectively on teams and across teams
