MacKelfresh & Associates, a private wealth advisory practice with Ameriprise Financial, is looking for an experienced Office Administrator to work with a high-producing team of financial advisors and marketing personnel to help families and business owners fulfill their financial goals and dreams.
This employee will be responsible for daily office needs such as answering phones, greeting clients, scheduling, and general administrative activities such as filing, document scanning, database entry, and compliance documentation. This position will rely on the use of various web-based tools and databases, proprietary and public, to assist advisors and staff with client service and plan implementation. A working knowledge of Microsoft Office and an intuitive ability to navigate software and computer applications is a must.

Client Care (50%)
Data entry to client management system
Call clients or prospects to set up meetings or appointments
Write notes or letters to clients of administrative nature only and handle client appreciation
Prepare and confirm client meetings, and if necessary, attend and participate
Follow up with clients as needed on outstanding administrative needs
Conduct transaction requests as directed by financial advisor(s) and associate financial advisor(s)
Answer unsolicited calls from prospects to schedule appointments or refer to advisor
Business Management (50%)
Work with home office to ensure accurate account setup and resolve issues
Maintain files and records in accordance with the records retention policy
Order supplies and other office related items, lobby maintenance, minor errands
Review work methods and procedures for possible quality improvements and efficiencies
Scanning, filing, submission of forms to home office
Maintain Compliance protocols such as Mail and Funds log, check submission and licensing requirements
Email administration or routing; Coordination with other departments
Minimum education: High School diploma or GED; Associates Degree preferred
Experience: 1-5 years; Financial Industry experience preferred
Organizational skills; Attention to Detail
Knowledge of Microsoft Office
Experience working in an CRM system (Salesforce preferred)
Ability to maintain confidentiality
Ability to prioritize and work under pressure with changing deadlines
Ability to multi-task while maintaining quality in a fast-paced environment
Ability to work independently
