Outstanding opportunity to be on the front lines greeting visitors; coordinating space; and handling security access; in an investment office playing a critical role in addressing facilities issues; maintaining a general awareness of office activity from day to day as well as opportunities to engage and develop relationships with admin support team colleagues and investment team professional across the office and globe.
Office visitor coordination including reserving space, security clearance, badges, visitor log, awareness and being on site to direct people as needed.
Covering the reception desk during business hours including answering phones as well as planning and scheduling back up coverage.
Maintaining seating floor plan; be on point for Emergency Action Plan reminders and to communicate information.
Be on high alert; work with facilities and building management to address emergency or ad hoc facilities issues through to resolution
Ad hoc admin support or tasks as needed such as ordering supplies; food or posting signage
Excellent customer service skills: positive and energetic attitude.
Strong interpersonal skills to interact with multiple teams and individuals in various roles and locations.
Solid written and verbal communication skills
Proficiency w/ Microsoft suite programs (MSWord, Excel, PowerPoint, Outlook, Teams).
Capacity to multi-task; exercise good judgement to quickly change direction when items need to be prioritized; and ability to remain calm under pressure.
Attention to detail in all aspects of this role and its responsibilities.
Prior administrative experience and/or Associates Degree, with a high school diploma (or equivalent).
