About the role

General Responsibilities and Scope of Role

• As part of the Security and Property Services leadership team represent the department and support the vision to create a respected and appreciated property and facilities function, demonstrating, and encouraging customer focus and a drive for excellence.
• Partnering with individual business units to ensure that the location strategy plan aligns with the overall Quilter property strategy
• Manage and maintain business relationships effectively
• Accountable for negotiating and closing out lease transactions
• Managing 3rd party Estate Management supplier(s) including rates management and service charge reviews
• Write property business cases and ensure the correct approval process is followed prior to delivery
• Oversee lease administration, managing all critical dates (renewal, acquisition, disposal)
• Negotiate and manage all sub-leasing and lease surrender situations.
• Lead and implement rate a service charge reviews

Financial Responsibilities and Scope of Role

• Support the annual budget cycle and 5-year planning, anticipating future property events and costs.
• Support the calculation of internal allocations for the cost of space.
• In conjunction with external advisors, review and challenge:
  • rent invoices prior to forwarding for approval and payment;
  • business rates/ property tax assessments;
  • service charge budgets and reconciliations;
  • insurance or other landlord demanded payments.
• Ensure that all sub-tenant receipts (rent, service charge or other payments) are accurate and paid promptly.

About you

• Full Membership of RICS, or equivalent.
• Relevant Degree or other academic qualification.
• The portfolio is predominantly UK-centric. Demonstrable experience of managing a UK portfolio and negotiating UK transactions, rent reviews, etc. is essential.
• Some international experience is preferred, demonstrating appreciation of different cultures and leasing practices experienced internationally.
• Excellent knowledge of the UK-wide leasing practices, relevant statutes and case law.
• Working in a prestige corporate and client-facing environment, preferably financial or professional services.
• Experience of managing a portfolio of buildings of widely varying sizes.
• Initiating, tendering, negotiating, managing and delivering value from outsourced service provider arrangements.
• Knowledge and understanding of how property management interacts with other corporate activities, particularly Facilities, Technology, Procurement, Legal and Risk.
• Leading and managing project teams comprising multi-disciplinary internal and third-party resource.
• Budget setting and management.
