Key Responsibilities

• Manage and follow-up closely on the daily schedule of your senior executives
• Handle extensive travel arrangement such as business trip visa, flight and hotel booking and expense processing
• Deal with external and internal clients in a pro-active and professional manner
• Arrange and coordinate meetings, appointments, interviews, etc
• Sit in business meetings and take minutes, whenever necessary
• Prepare presentations, proposals, correspondence, reports, etc.in a timely manner
• Translate documents from English to Chinese or vice versa, whenever necessary
• Ensure to keep all clients lists and internal records up-to-date
• Maintain a proper and systematic filing system
• Handle any ad-hoc projects assigned
• Cover other secretaries, whenever necessary (especially during leave)
• Attend and take all relevant compliance and risk training; fulfill all compliance responsibilities as required for the job; participate in raising risk awareness in the department; comply with regulatory requirements and internal guidelines; and contribute to the reporting of all incidents

Qualification

• Tertiary education
• Formal secretarial training
• Minimum 3 years' relevant secretarial experience, preferably with investment banks exposure and serving senior management
• Excellent command of written and spoken English and Chinese (including Putonghua)
• Proficient in computer – Microsoft Office (Word, Excel, PowerPoint, etc.) and excellent in Chinese word processing
