The Investement Banking Division works on some of the most complex financial challenges and transactions in the market today. RESPONSIBILITIES AND QUALIFICATIONS This role is for a full time Office Manager for the Investment Banking Division. The individual will work closely with the Investment Banking management team, Human Resources, Corporate Services and Real Estate team.
Manage Administrative assistant population
o Ability to manage a team across the division o Maintaining standards and consistency in work quality o Workforce budgeting o Oversee hospitality services including pantry provision, conference room management o Oversight of quality provision of travel and ground transportation services
Organize infrastructure for Hong Kong and other non-China offices
o Manage the divisional rollout of new technical implementations o Oversee Business Continuity Plans o Manage local vendors' relationships and maintain management oversight; o Representing the division in negotiation with internal client and external vendors alongside Corporate Services/Real Estate o Oversee facilities management services and contracts, including routine moves/construction projects, building operations
Integral member of IBD management team
Skills Experience required
5+ years of relevant experience
Solid interpersonal, organization, problem solving, attention to detail and analytical
Microsoft Office skills (Outlook, Word, Excel and PowerPoint)
Prior team management experience
Hard working strong work ethic with a positive attitude
Flexible and reliable
Ability to work well under pressure and stay professional in a busy environment
Proactive - follow up where necessary without prompting and seek clarification when needed
Willingness to help and be part of a team
Strong verbal and written communication skills
Strong attention to detail
