The Advanced Analytics Program is a transformation project to pull together the deep insights and expertise across IBG, RMG and Group Research, leveraging cross-function collaboration and synergies, advanced analytics and technology to drive better and faster credit and investment decisions. The candidate will assist the Program Director in various aspects of managing the project; including but not limited to, coordinating project activities and managing budget.
The key responsibility of this position is to assist the Program Director in various aspects of managing the project. This includes:
Assisting in project-related matters:
Coordinate project activities, including simple tasks and larger plans
End-to-end coordination of meetings and workshops involving Senior C-Suite personnel, Business Unit Heads and Experts as well as Program Office personnel, both local and across borders and time zones (including but not limited to the preparation of meeting venues, equipment, presentation materials and software; scheduling at appropriate dates and time; establishing invitees to be included, timely circulation of discussion materials)
Record meeting and workshop minutes (purpose, decision / outcome and next steps)
Document and track follow-up action items
Maintaining programâ€™s SharePoint site and electronic archives (including occasional hard-copy documents);
Managing the project budget:
End-to-end management of the programâ€™s budget, including tracking monthly expenses, external vendor / internal project team invoices and payments, program inventories etc.
End-to-end organization of the programâ€™s team engagement activities throughout the year
General contribution towards developing strong professional relationships within the program team as well as with other stakeholders

The ideal candidate should have experience in:
organizing large and complex meetings involving senior C-suite personnel, both local and across borders and time zones
managing project budgets, including vendor invoices and payments
minutes-taking for senior level meetings, including tracking of follow-ups
The ideal candidate should have the following skills:
Proficient in business communication
Proficient in various aspects of Office 365
Experience in project coordination or a similar role is a plus
