About The Job
In this role, you will be providing a full spectrum of administrative assistance to our Brisbane team. You will be responsible for reception, general administration and office support. You will play an essential role in keeping the team organised and operating effectively
Responsible for effective and efficient day to day operation of the Brisbane office
Manage correspondence including distribution of incoming mail, arranging couriers and outgoing mail. Distributing internal notices and communications to staff
Assist with co-ordination of meetings, client events, seminars, research and company presentations including room bookings, RSVPs, arranging catering/refreshments, multimedia etc.
Liaising with internal stakeholders IT, HR, other management teams
Working with the admin team nationally to ensure consistency across the offices
Liaise with facilities manager and corporate services regarding cleaning/facilities maintenance and building maintenance requests
Document management including scanning, storing, filing and archiving
Managing banking including cheque handling procedures
Maintaining office phone list, floorplans and organizational charts. Updating internal systems
Processing invoices, travel bookings and expense claims
Meeting room bookings and diary management
Greet clients at reception and offer/prepare coffee where required. Maintain order and presentation of meeting rooms for client meetings/events
Maintenance of stock levels for stationery, kitchen and other office consumables
Maintain kitchen/utilities area, ensure a tidy and organized space
Onboarding new staff members, processing staff leavers, maintaining staff leave records
Comply with the ethical standards contained within the Company Code of Conduct
Adhere to Company policies and procedures, regulatory and legislative requirements

Technical/ Specialist Skills/ Competencies:
Excellent customer service and telephone manner
Ability to maintain files
IT literacy, database and analytical skills
Skills in Word, PowerPoint and Outlook will be required
Knowledge or interest in financial markets and/or the financial planning industry (highly desirable)
ability to learn and adhere to compliance and legal requirements within Morgan Stanley

Experience required for this role
Administrative experience preferred.
