The Team Administrative Assistant will be responsible for:
All aspects of running a small office, including coordination with Landlord, management of stationary and kitchen supplies, as well as meeting and greeting guests;
Management and coordination of the Managing Director's Calendar – both internal and external meetings;
Travel reservations, international and domestic for the team, and all related travel logistics. Most travel is within rural Australia – understanding the constraints around this from a connections and road transfer timing is key;
Coordination of board meetings, conferences and annual investor trip, inclusive of multiple-party coordination across travel, accommodations, and visas;
Travel expense reporting and reconciliation for senior members of the team;
Maintaining office filing and organisation system;
Working closely with Company Secretary and accountant for execution of documentation and payments;
Supporting the team in preparation of reports, documentation and professional materials for further distribution both internally and externally;
Professional and high level Communication with C-Suite members of investment organisations to organise meetings, travel, etc.;
Entering Land Title details onto the Australian Tax Office Land Register;
Other administrative responsibilities as required.

Ability to work in a small team; this person will be alone in the office frequently as the other team members travel extensively;
Ability to thrive in a high paced environment that is growing. We are a fun team but are busy – knowing when to have your head down and focus is key;
A high level working knowledge of Microsoft Office especially excel;
Highly organized and detail oriented;
Ability to juggle and prioritise things as they arise but still meet deadlines;
Knowledge of rural Australia and the challenges of working in these areas will be highly valued but not essential.
