The Operations & Ebiling Specialist will be a part of the operations team within the Legal, Corporate Administration, Regulatory Affairs and Security division. Under the supervision of the Legal Operations Manager, the Specialist is responsible for working with the Chief Administration Officer and Legal Operations Team to manage aspects of the Legal department billing and reporting processes.
Reporting & Analysis - Run regular reports from the eBilling system. Prepare detailed analytics into presentation and summary format. Follow-up with managers, Finance, and law firms as necessary. Perform ad-hoc analyses as required
Data Integrity - Entering and validating legal data regarding eBilling and matter management, including budgets, timekeeper rates, invoice approvals, matter scope and status. Accurately track and update timekeeper and rate data from retention agreements and invoice approvals.
End User Support - Work with internal and external legal professionals to create new end user accounts, onboard vendors, resolve billing inquires, support end user questions and issues. Provide on demand training of the matter management and eBilling system. Explain and enforce billing guidelines.
Manage Agreements - Verify, organize, analyze, and report on updated law and other professional service firm retainer agreements. Maintain State Street's billing guidelines
2+ years of related electronic billing experience, legal category experience preferred
Understanding of accounts payable and invoice processing
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Attention to detail, quality and accuracy
Strong organization, task management, and problem-solving skills
Strong verbal and written communication skills
Ability to ensure strict confidentiality at all times
Ability to work both independently and as part of a team
