Helps conduct the smooth operation of a fast-pacedand friendlyfinancial planning office. Works as an employee of an independent Advisor franchisee with a financial Advisory practice of Ameriprise Financial. Assists in daily business operations. This position completes tasks which allow the Advisor to focus more time and energy on financial planning, client acquisition and deepening existing client relationships. The Planning Assistant supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. This position allows the Advisor the assurance they need to know that their practice is being maintained and supported within Ameriprise Financial compliance requirements and established guidelines. This role provides client relationship and general practice management support through gathering client data, helping prepare other client deliverables and touch points such as greeting cards, organizing client files, setting up new business and performing other business management tasks as needed. Responds to ad hoc requests, coordinates/tracks projects and/or manages business-as-usual projects such as organizing the logistics of a client seminar. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.

Essential Duties and Responsibilities:
Assists Financial Advisors and Associate Financial Advisors in preparing client pre-meeting documents, forms and compiling other correspondence for Advisor review and client signature. Ensures that the Advisor has all necessary materials available in advance of client meetings.
Submits paperwork and follows-up with Corporate Office on related issues as needed.
Monitors and tracks the inflow of client funds and provides this information to management weekly. Examples of other related date includes client appointments completed, number of new clients, financial planning fees and due dates. 2
Tracks the status of client post-meeting action items and follow up as needed with Advisor(s), clients and/or other team members to ensure timely processing. Answers basic client questions and provides readily available information to clients, if requested and as allowable, as it relates to servicing their accounts.
Greets clients and guests by phone and in person.
Serves as back-up for the receptionist desk and mail handling coverage.
Drafts notes or letters of an administrative nature to clients as needed. Reviews with Advisor and secures approval prior to releasing.
Administers client appreciation events.
Documents client contact/calls using appropriate company-issued tools.
Supports compliance within the practice and fulfills all compliance responsibilities. Develops an understanding and adheres to all compliance regulations throughout the course of employment.
Acts as a back-up to other team members as needed.
Regular and predictable attendance, punctuality, and strict adherence to the Companys attendance policy are essential functions of this position.
Completes other duties as assigned by Advisor and/or Company management.

Education and/or Experience:
High school degree or higher education; Associates degree a plus.
1 2 years prior office administration experience, preferably in Accounting or Human Resources functions.
Ability to read, analyze, and interpret documents such as technical procedures, company policies, regulations and instructions, procedure and compliance manuals is essential. Must be able to write and understand routine reports and correspondence. Demonstrate the ability to speak effectively and clearly to individuals and groups of clients or employees of the organization.
Demonstrate proficiency to add, subtract, and divide in all units of measure, using whole numbers, common fractions, and decimals. Must be able to compute rate, ratio, and percent and to draw and interpret bar graphs.
To perform this job successfully, an individual should have knowledge of contact management systems, database software, internet software, spreadsheet software, and word processing software.
