The Senior Administrative Assistant independentlycompletes a wide range of administrative activities in support of a one or moremanagers who is/are responsible for leading a group or department. Mayadditionally or separately support a moderately sized team [typically 6-10individuals]. The incumbent supports the manager(s) and/or team in completingdaily activities and managerial/administrative tasks. Tasks are frequentlyadvanced and complex in nature. Has some latitude for time management andselection of work methods/approach for completion of own work. Interacts dailywith the assigned manager('s') direct reports and/or team. Interactions may occasionallybe at the leadership level. Appropriately and effectively addresses complexissues escalated to the assigned manager('s')/team member('s') office. Displaysability to appropriately interact with leaders during occasional interactions insidethe organization. Requires ability toeffectively prioritize competing requests and switch focus as needed; oftenmust negotiate prioritization of administrative activities with teammembers/manager(s). May participate in ad-hoc special projects or administrativeinitiatives. Other activities often reflect some elements of the professionaldiscipline supported (e.g., HR, Risk, Finance). May provide advice/training to new or less experienced team members.
Performs advanced, diversified and sometimes confidential administrativeduties requiring broad and comprehensive experience, skill and knowledge oforganizational policies and procedures. Screens calls and visitors, andresolves inquiries. Schedules meetings, prepares and distributes meetingagendas and minutes. Makes travelarrangements and maintains calendar of appointments for assigned manager(s)and/or team. Activities may alsoencompass disciplines such as event planning, bookkeeping, as well as standardareas like word processing, data entry etc. Exercises autonomy introubleshooting a diverse range of sometimes complex issues as they arise.
Typically conducts a range of administrative assignments related to theassigned manager('s') and/or team'sattendance or conduct of seminars, workshops, and/or conferences, among others,including preparation of materials, scheduling and logistical arrangements. Mayundertake diversified or special projects requiring interaction with multipleteams. Could be expected to collaborate on projects related to administrativeinitiatives.
Conducts research; compiles, analyses and summarizes information forreports and correspondence. Leveragesown contacts and resources, and liaises with other managers on behalf of theassigned manager(s) and/or team to facilitate information gathering andconfirmation of answers.
Applies discretion to triage a wide range of requests, questions andproblems directed toward the assigned manager(s) and/or team. Expected toaddresses and/or identify the level of urgency and escalate as necessary.
May be expected to prepare draft correspondences, memoranda and reportson behalf of and for review by the assigned manager(s) and/or team. Mayestablish filing/organizational procedures. Is an intermediate to advanced userof standard business software (word processing, e-mail, spreadsheets, etc.)
May review and analyze complex data, assist with budgets and budgetpresentations for review and use by the assigned manager(s) and/or team.Completes all billing and expense activities, manages supply orders andresolves associated issues on behalf of the office, manager(s) and/or team.
No direct reports. May provideadvice/training to new or less experienced team members. Effectivecollaboration and communication, including information exchange with internaland external contacts, is required. Tact, diplomacy and confidentiality areessential skills based on the level of internal and external contacts.
High school/secondary school or the equivalent combination of education and experience is required; bachelor's degree preferred. Applicable vocational training (e.g., courses on relevant business software like the Microsoft Office Suite of products, basic business writing or similar) preferred;
5-7 years of total work experience preferred.
Effective collaboration and communication, including information exchange with internal and external contacts, is required.
S/he has very good command of English both written and spoken as well as good command of French and/or Dutch.
S/he must be well organized
S/he must have a high level of interpersonal skills
Previous PA experience is a must
