Main Purpose of the Role:
To provide a high level and flexible administrative support to a number of different departments during times of absence across a busy trading floor and to all back office/support functions. The role requires someone who is keen and able to learn quickly but is also adaptable and competent with dealing with staff across all levels in a professional and efficient manner. Whilst being challenging at times this role will also provide an excellent opportunity to learn new skills and gain experience working within the financial sector.
Work effectively within a team and provide day to day cover and administration assistance to colleagues when their PA is absent
Diary management: maintain and proactively manage multiple, busy Microsoft Outlook diaries ensuring accuracy and appropriate level of detail
Co-ordinate Internal and external meetings
Assist with the preparation of meeting documentation when required
Arrange all logistics for meetings including room bookings, ensuring appropriate catering has been ordered and opening conference dial-in's.
Organisation of frequently changing global corporate travel including flights, ground transport, accommodation and prepare itineraries and appropriate visas
Expense management: submit expenses on a monthly basis in line with company policies and ensure the team are compliant to the policy
Support and co-ordination with the preparation of documents for Board, Executive and other Management Committee meetings
Liaise with technology and raise access requests using an internal system including new joiner set-up
Organise, prioritise and manage daily workload using own initiative
Ad hoc administrative duties such as; printing and binding presentations/internal reports, scanning, ordering office supplies, co-ordination of desk moves etc.
Meeting and greeting visitors at all levels of seniority
Taxi and courier bookings as required
Be compliant with all policies, procedures, legal and regulatory requirements
Uphold key relationships and liaising with other admin assistants within the organisation
Supporting up to board level executives
Skills and Experience:
Experience working in a similar role, preferably within Investment Banking
Excellent administrative skills
Strong Microsoft office skills; advanced excel beneficial
Excellent organisational skills; the ability to prioritise a large workload and conflicting deadlines
A can do attitude; the motivation and drive to assist team members to the best of your ability
Excellent verbal and written communication skills
