· Provide administration and secretarial support to Line Manager (LM) and FM CFCC team members (Local, Global and matrix reportees). · Provide support to FM CFCC team in ad-hoc projects as and when required.
Line Manager Support 1.Manage LM's in-box 2.Manage and upkeep LM's diary Ø Arrange meetings, book rooms, organise dial in numbers Ø Rearrange meetings if conflicting appointment occurs 3.Prepare and submit claims for reimbursements of business expenses 4.Manage travel arrangements and coordinate the pre-planning of trips, including arranging appropriate travel and accommodations,agendas, necessary contacts, reading materials and other necessary preparations. 5.Help arrange and co-ordinate any hiring processes as required 6.Supporting coordination and communication of events including (town-halls, conferences) 7.Represent LM in a professional and congenial manner in person, telephone conversations and written correspondence. 8.Good communication skills and an ability to interact effectively at all levels of the organisation. 9.Proactive and be able to work independently and resolve problems or conflicts 10.Strong interpersonal skills and a proven ability to interface with senior stakeholders 11.High sense of judgment in handling sensitive information regarding the Bank and People. Department Administration 1. Prepare and coordinate incoming visits by senior executives 2. Provide logistics/administration support for FM CFCC Team including: · Timely e-Procurement processes for the team, such as, hardware/software purchase, air tickets and hotel bookings processes · Secretarial support for FM CFCC team · Co-ordinator for FM CFCC offsites, training workshops and Big Calls when required
Appointed Deputy Department BCP Co-ordinator to take charge of the Department Business Continuity Plan, Call Tree management, Pandemic and other arrangement.
Key Measurable: · Ability to take ownership in what needs to be delivered and deliver on time. · Strong team player with established strong working relationships with Group FCC and other relevant stakeholders.
