Ensure a good flow of communication and excellent secretarial support is provided to the CEO.
Organisation of the daily schedule of the CEO effectively to ensure the most effective use of time. Ensure all internal and external meeting, calls and appointments requirements are met, scheduled accurately and smoothly
Forward planning of CEO travel arrangements which includes schedules, itineraries, flight and hotel booking, visa application, overseas CEO's notification, overseas compliance clearance, cross selling forms, preparation of meeting materials or presentation, process all travel requirements to ensure all trips managed accurately. Able to manage within tight deadline
Assist in CEO's preparing Asset Management Singapore reports, Board Papers, Asset Management Exco reports, adjusting grammar and spelling as appropriate, including minutes taking. Organise presentations, documents, correspondence and adhoc task when needed such as adjusting grammar and spelling as appropriate. Drafting of correspondence when requested and ensuring response is sent in a timely manner. Asia Pacific monthly management meetings, Asset Management Singapore Exco, Board Meeting and monthly business meetings.
Keep track of all the timelines that require CEO's attention or action for example submission of Asset Management Asia Exco reports, board paper, signatory for documents or approvals
Organise agendas, bookings for business entertainment meetings for CEO, assist with menus and other correspondence.
Ensuring appropriate approvals are in place for business events or entertainment, register business events and entertainment with compliance within deadlines.
Screen incoming calls, fielding calls if appropriate and assisting where possible.
Managed expense reimbursements for CEO
Any other ad hoc duties as assigned by CEO
Degree in a relevant field
Considerable experience as a secretary across the asset management space or dealing with senior level individuals
