The PA role will primarily be responsible for one-to-one support to the General Counsel EMEA and Asia and will also support the Legal and Compliance teams.
Support for JIL Board Secretary
Maintain the following systems:
GEMs (Leucadia/Jefferies Global Legal Entity Management System) in relation to the European / Asia entities and maintaining the shareholder and director details.
Jordans PCSec (UK Company Secretarial Registers) in relation to the UK entities and maintaining the various registers for each entity (as required by the UK Companies Act).
Translate and organize complex documents
Support for JIL Board of Directors and Committees
sending out invites and booking meeting rooms, VCs and lunches etc. and liaise with other senior management PAs in London/NY.
Producing and distributing the formal agendas and hard copy JIL Board/Committee packs.
Admin requirements of the Independent Non-Executive Directors.
Uploading the JIL Board/Committee packs to Diligent.
Updating the FCA Data site (with Merrill) with the required MI (as per our FCA supervisory letters).
Creating board packs
IB Transaction Support
Prepare engagement letters to the transaction specifics
Produce first drafts of routine legal documents, including fee letters, key man letters, indemnification letters, etc.
Day-to-day Administrative Tasks
Setting up internal and external meetings.
Assisting with planning of team functions.
Dealing with legal fees accruals, setting up Tymetrix matters. Assisting external firms with Tymetrix onboarding.
Dealing with the procurement processes for Legal and Compliance.
Managing stationary orders and department correspondence.
General document production, filing, faxing, scanning, photocopying, and uploading documents to internal databases (e.g. Sharepoint).
Help with expense reimbursements claims, payment of invoices and booking business travel and accommodation.
Miscellaneous and ad hoc work;
office moves; helping with new joiners and leavers.

Experience supporting Senior Leadership role/Head of Division
Delivery of first class customer/client service
Pro-active approach and proven experience of delivering efficient solutions
Experience with contract drafting and contract negotiation
