This role will provide a professional, efficient and valued add service to our Asset Management team to enhance the general administration function of the business. You will be responsible for the delivery of various day to day tasks and deliver these to the teams utilising excellent organisational and communication skills. You will constantly seek ways to improve effectiveness.
The role will be assigned to either the office, industrial or retail Asset Management team within the Real Estate function of Aviva Investors. Each team consists of a Sector Head, Senior Asset Managers and Asset Managers (circa 6 to 10 team members) responsible for maximising rental and other income and capital value from a large portfolio of real estate assets relevant to the particular sector. The teams deal with all aspects of real estate asset management work including leasing, rent reviews, lease renewals, refurbishments, development and other activities Support is also provided to the Transactions Team to assist on the purchase and sale of real estate assets. In addition, the team provides relevant information and opinion in relation to the periodic valuation of the real estate assets.
The Real Estate team is based at St Helen's, One Undershaft, London, EC3P 3DQ. The Surveying Executive will be based from a location in Norwich, however regular travel to London will be required, to attend team events and meetings etc.
To provide high value assistance to the Asset Managers.
Ensure that the completion of legal documentation is processed efficiently, following the company's procedure to safeguard our investors to facilitate lettings, rent reviews and the appointment of consultants and contractors.
Effective liaison with external advisors and internal teams to ensure efficient completion of appointment documents.
Management of Purchase Order numbers for the payment of fees relating to asset management advisors.
Co-ordination of the efficient and timely onboarding of suppliers onto the relevant Yardi Payscan system.
To liaise with internal teams to ensure the efficient and timely verification of potential tenants in terms of sanction checking and assessment of accounts.
Provide assistance and co-ordination of workflows supporting the ongoing 'Systems Thinking' process to improve customer engagement and efficiency of the letting process.
As directed by the Asset Managers, manage the production of 'Customer Packs' to support the 'Systems Thinking' initiative. This will involve the liaison with multiple external consultants to ensure inclusion of all relevant information.
As directed by the Asset Manager, to take charge of the management of service charge, sub-let and alterations approvals and the chasing of arrears.
As directed by the Asset Manager, to be responsible for appropriate income rental generation such as the leasing of vacant car park spaces, vacant store rooms, temporary lettings of vacant land and other income streams.
As directed by the Asset Manager to ensure that requested workflows are processed through the Yardi system efficiently and in accordance with Company procedure.
Involvement with performance analysis and data management (including dealing with queries on Affinity and Yardi systems).
Where directed, to assist with valuation process
Excellent written and oral communication skills and outstanding attention to detail with the ability to be flexible
Demonstrate a proactive approach - high level of planning and organisational skills to organise and manage their workload being able prioritise, especially at busy times.
Experienced detail conscious organiser who has an enthusiastic approach to work
Ability to work independently with minimal supervision
Initiative in taking action and response when necessary
Experience with Excel / Outlook /Word and PowerPoint
An understanding of property management matters including lease structures and service charge accounting.
