Human Resources provide support and strategy at every level of Morgan Stanley's business. It helps firm and business unit management with strategic direction in employee recruiting, retention, development and compensation. HR generalists partner with individual business units to deliver services in data analysis, employee relations, compensation analysis and performance management. Other HR teams are product-focused, specialising in compensation, benefits, recruiting, reporting and learning and development services.
The purpose of this role is to provide administrative and operational HR support within the ISG HR Coverage team.
Management of new hire co-ordination
Liaise with the Recruitment team/BU management for job postings via the Taleo system where applicable
Prepare offer letters and approvals if necessary
Conduct new hire meetings and be the first point of contact for enquiries
Assist with work permit and visa applications
Request relocation packages
Input new hires onto the HR systems
Facilitate IT and desk set up with BU Admin
Process new hire paperwork
Liaise with the Screening team on background checks
Process invoices related to recruitment
Liaise with the HR Governance team, Compliance and the BU to ensure new hire has been approved via the Fitness and Propriety (F&P) assessment
Manage campus onboarding with Recruitment and HR Operation team
Manage BU and candidate expectations in terms of onboarding
Ensure that New Hire accruals are recorded in Compensation system
Arrange and conduct exit interviews, escalating concerns to senior HR coverage where necessary
Prepare and process termination paperwork
Liaise with BU management, global HR, HRSC, Payroll, IT and Compliance as appropriate
Manage the administration associated with internal transfers, including any necessary documentation required. Liaise with Compliance, BU Admin where necessary
Provide guidance to managers on the Firm's relocation packages; obtain approvals; liaise with employees and International Services team.
Liaise with the recruitment team/BU management for Taleo requisitions where applicable
Employee Relations and Performance Management
Advise line managers, where appropriate, on Morgan Stanley's HR policies and procedures
Assist HR coverage with disciplinaries and grievances as necessary, including written correspondence and scheduling meetings including hearings; taking minutes of grievance and disciplinary meetings where appropriate
Assist HR coverage with redundancies including co-ordinating redundancy projects, conducting Redundancy meetings and consulting with employees
Liaise with the Occupational Health Department on employee health issues as appropriate
Assist HR coverage with the monitoring of sickness absence data, following up with BU management/HR colleagues where necessary
Regular communication with the HRSC in respect of any employees on maternity leave
Deal with ad hoc maternity and family leave queries
Conduct Maternity Leaver and Maternity Return to Work meetings with employees
Flexible Working Arrangement Applications
Manage the administration associated with flexible working applications (FWA), including any necessary documentation required
Schedule and conduct FWA meetings with BU and employee
Work with BU Management to find appropriate solutions to FWA requests, liaising with legal where necessary
Performance Evaluation Process
Assist with data verification, co-ordinating with HRSC as appropriate
Help to chase delinquents and ensure client is on track to completion and follow up
Produce review packs and assist in co-ordination of Divisional promotion meetings (roundtables)
Reporting and Metrics
Responsible for regular data audits (new hire, compensation, etc).
Liaise with LONCDT for data updates or corrections
Assist in creation of basic ad-hoc / headcount reports
Assist Senior HR coverage as required
Assist with all year-end auditing and checking for compensation
Ensure that paperwork and payments are correct processed for any allowances
Regular liaison with payroll for any monthly compensation changes or requirements, ensuring notification of any changes within cutoff deadline
Producing and processing payroll memos for additional payments, sign-ons, etc.
Ensuring back-up documentation is provided to payroll for new hires
Diarise payments as necessary to ensure regular payments are processed e.g. Allowances
General Requests and Queries
Act as the first point of contact for general queries from the BU
Org Structure – Assisting with cost centre creation/changes as required and ensure that managers are correct on Workday
Request and monitor ITRFD requests
Support senior HR Coverage with ad hoc tasks and queries
Skills required (essential)
Degree educated or equivalent
A first experience within HR either within financial services or professional services
Excellent verbal, written, and interpersonal communication skills
Respond to requests and inquiries in a timely manner
Manage competing projects and day-to-day deliverables -- prioritisation skills are essential
Ability to multi-task on numerous issues at the same time
Ability to take ownership and follow tasks through to completion
Excellent organisation skills
Good IT skills – PowerPoint, Excel, Word
Knowledge of HR systems desirable
Basic knowledge of employment law desirable
